The Workplace team provides support for every employee at Asana, from creating a welcoming experience upon entry to all of our global offices, to designing, building and maintaining comfortable, inclusive, work environments across the globe. We are committed to creating environments in which all Asana's can perform at their best.

This role is based in our San Francisco office and requires working from this office Monday through Friday. If you're interviewing for this role, your recruiter will share more about the in-office requirements.

What you’ll achieve:

  • Greet all visitors to the Asana office with a calm, helpful, and hospitable approach
  • Ensure all guests sign in properly and adhere to Asana’s Guest Policy
  • Receive all incoming packages/mail and distribute or put away in a timely fashion
  • Perform opening and closing duties of office
  • Create a positive employee experience for Asanas by providing exceptional operational/Workplace support.
  • Assist the Workplace Lead/Manager with managing the day-to-day running of operations in the office ensuring services are provided in an efficient manner. Including but not limited to vendor management, reception, deliveries, kitchen stock, waste management, repairs & maintenance and office supplies, etc.
  • Assist the Workplace Lead/Manager with coordinating office wide events, celebrations, and traditions, in partnership with the Internal Events and the Employee engagement teams. Be a cultural role model for other Asanas.
  • Partner with People and IT to ensure organised onboarding of new employees and ongoing smooth operational support.
  • Help coordinate and support onboarding sessions as needed, greet new hires upon their arrival
  • Maintain consistent and clear communication with other Workplace team members in regards to any facilities or security related concerns.
  • Work with the Space Planning team to maintain consistently up to date seating plans.
  • Manages the inventory and storage of office supplies, food and beverage, and other office equipment.
  • Maintain a clean, organised, and professional office environment at all times by ensuring all areas are well stocked and properly maintained.
  • Proactively seek creative solutions to enhance the workspace, optimise functionality, and ensure the office is utilised to its fullest potential.

About you:

  • Demonstrates curiosity about AI tools and emerging technologies, with a willingness to learn and leverage them to enhance productivity, collaboration, or decision-making
  • Ability to work a set schedule of 9am-5pm, Monday through Friday
  • Highly organized with the ability to prioritize multiple functions and tasks while managing time efficiently
  • Approachable and able to build relationships with Asanas and visitor
  • Ability to wear many hats (and switch them often!)
  • Be a clear and effective communicator, both written and verbally
  • Proactively ask questions and ask for help if needed
  • Must be punctual and demonstrate follow-through to commitments and expectations
  • Learn our culture and processes quickly in a fast paced, ever-changing environment
  • Professional, articulate, and friendly personality with a customer-service orientation
  • Proficient in Google Apps and other calendar/meeting applications
  • 1-2 years of direct customer service experience
  • 2-3 years of office operations experience

For this role, the estimated base salary range is between $54,000- $60,000. The actual base salary will vary based on various factors, including market and individual qualifications objectively assessed during the interview process. The listed range above is a guideline, and the base salary range for this role may be modified.
