Who are we?

About the role

FalconX is seeking an exceptional Executive Business Partner to work closely with our Founder & CEO. This role combines outstanding executive support with the business understanding and judgment to keep the CEO’s time, attention, and daily activities aligned with the company’s priorities.

You will own complex calendar management, travel, meeting preparation, communication, and day-to-day administration. You will develop a deep understanding of our business, key relationships, and leadership priorities, using that context to anticipate needs, navigate competing requests, and make thoughtful decisions without constant direction.

The ideal candidate takes pride in excellent executive support, brings calm and precision to a fast-moving environment, and understands why each meeting, commitment, and interaction matters.

What you’ll do

  • Manage the CEO’s calendar proactively. Coordinate complex schedules across time zones, resolve conflicts, and assess requests against agreed priorities. Protect time for preparation, focused work, and important relationships.
  • Ensure the CEO is prepared. Work with meeting owners to gather agendas, pre-reads, relevant background, and presentation inputs. Coordinate board, client, partner, and leadership meetings so materials and logistics are ready in advance.
  • Manage communication and follow-through. Triage incoming requests, draft correspondence, and coordinate timely responses on behalf of the CEO. Capture decisions and action items from select meetings, follow up with owners, and flag commitments at risk of slipping.
  • Coordinate seamless travel. Own domestic and international itineraries, accommodations, transportation, and related logistics. Anticipate disruptions and manage changes with urgency and attention to detail.
  • Keep executive administration running reliably. Manage expenses, coordinate vendor invoices, and maintain organized, confidential records. Build systems that make recurring work easier and reduce avoidable last-minute requests.
  • Apply business context to daily decisions. Stay close to the CEO’s priorities and understand key initiatives, stakeholders, and dependencies. Use that knowledge to recommend what should be prioritized, deferred, or redirected, and recognize when an issue needs escalation.
  • Be a trusted presence in the New York office. Build strong relationships across teams, stay attentive to practical needs affecting the CEO’s work, and help information reach the right people. Partner with Workplace, People, and IT on relevant office, vendor, and onboarding coordination.
  • Organize executive meetings, offsites, and visits. Coordinate logistics, communications, and materials with the relevant teams, ensuring a thoughtful experience for internal and external participants.

What you’ll bring

  • 5+ years of executive support experience, including supporting C-level leaders in a fast-moving or high-growth environment.
  • Demonstrated excellence in complex calendar management, executive travel, meeting preparation, and administrative execution.
  • Strong business curiosity and the ability to quickly understand a company’s priorities, operating context, and key relationships.
  • Sound judgment and confidence navigating competing demands, making practical trade-offs, and knowing when to seek direction.
  • Exceptional attention to detail, discretion, and care when handling sensitive information.
  • Clear written and verbal communication, executive presence, and the ability to build trust across levels and functions.
  • A proactive, resourceful approach: you anticipate needs, take ownership, and follow through without repeated prompting.
  • Comfort using technology and improving workflows to deliver better, more reliable executive support.
  • Ability to work from our New York office 3–4 days per week.

The base pay for this role is expected to be between $140,000 and $178,000in the New York City Area. This expected base pay range is based on information at the time this post was generated.
