About the Role

Motive is looking for a Senior Inventory Specialist to join our Planning & Inventory Team. In this role, you will manage inventory transactions across NetSuite and our third-party warehousing systems (3PL WMS), while overseeing day-to-day coordination with 3PL partners. You will ensure adherence to inventory, warehouse, and operational processes; drive process efficiency and continuous improvement; and serve as the crucial bridge between physical warehouse operations and our digital systems. By maintaining strong 3PL performance and inventory data integrity, you will support accurate global supply chain and planning decisions.

This role requires the candidate to travel to our warehouse in Louisville, KY at least once a week.

What You'll Do

  • Manage Inventory Transactions: Process, validate, and reconcile inbound PO receipts, put-aways, stock transfers, returns, and inventory adjustments in NetSuite and 3PL WMS.
  • Coordinate 3PL Operations: Serve as the day-to-day operational contact for 3PL partners, coordinating receiving, storage, fulfillment support, transfers, returns, cycle counts, and issue resolution.
  • Maintain Inventory Data Integrity: Reconcile NetSuite inventory with 3PL WMS records and physical counts. Investigate and resolve discrepancies, including negative inventory, phantom stock, receiving variances, and transaction errors.
  • Drive Process Compliance: Ensure inventory and warehouse activities are executed in accordance with SOPs, controls, and financial requirements. Partner with 3PLs to reinforce standardized inbound, transfer, storage, and returns workflows.
  • Monitor 3PL Performance: Track service levels, transaction accuracy, inventory accuracy, timeliness, and adherence to operating procedures. Identify recurring issues, communicate performance gaps, and support corrective action plans with 3PL partners.
  • Improve Processes and Operations: Identify opportunities to improve inventory, warehouse, and system processes; document and implement process improvements; and support continuous improvement initiatives that increase efficiency, accuracy, and scalability.
  • Support Planning & S&OP: Provide timely, accurate, and clean inventory data to support weekly and monthly Sales and Operations Planning (S&OP), replenishment, supply planning, and business decisions.

What We’re Looking For

  • Experience: 3+ years in inventory management, supply chain operations, warehouse systems, or 3PL operations, with direct ownership of inventory transactions and operational follow-through.
  • 3PL and Warehouse Coordination: Experience working directly with 3PL providers or warehouse teams, coordinating day-to-day activities, resolving issues, and maintaining accurate inventory and operational records.
  • Systems Expertise: Hands-on experience with ERP systems, preferably NetSuite, and at least one WMS or 3PL system. Familiarity with ERP-to-WMS integrations is strongly preferred.
  • Inventory Control: Experience reconciling system inventory to physical stock, performing or supporting cycle counts, analyzing variances, and troubleshooting discrepancies such as negative inventory, phantom stock, receiving errors, and transfer issues.
  • Process Compliance: Demonstrated ability to follow, interpret, and reinforce SOPs, inventory controls, warehouse procedures, and financial controls across internal and external operating teams.
  • Analytical Skills: Strong Excel or Google Sheets skills and the ability to run basic SQL queries, such as Snowflake queries, for data validation, reconciliation, and root-cause analysis.
  • Problem Solving and Continuous Improvement: Strong investigative and problem-solving skills, with the ability to identify root causes, implement corrective actions, improve processes, and prevent recurring inventory or operational issues.
  • Communication and Collaboration: Clear, concise communication style and the ability to coordinate effectively with 3PL partners, logistics, planning, finance, operations, and front-line warehouse teams.
  • Performance Management: Ability to track operational performance, identify service or compliance gaps, communicate expectations, and follow through on corrective actions with internal and external partners.
