Job Summary

At OpenGov, exceptional hiring doesn’t happen by accident. It’s built on airtight coordination, smart systems, and a brand that makes people want to work here. The Talent Acquisition Specialist sits at the center of all three. You’ll keep our candidate experience running at a high level, own the operational infrastructure behind our recruiting function, and bring our employer brand to life externally. You’ll also support key TA programs and help drive AI adoption as a champion for the team. This is a role for someone who’s operationally sharp, creatively curious, and excited about building a modern recruiting function from the inside out.

Responsibilities

Interview Coordination & Candidate Experience

  • Own end-to-end interview scheduling across all hiring stages (phone screens, panels, executive conversations, and final rounds), coordinating logistics with speed and care for the candidate experience

  • Serve as the primary point of contact for candidates through the interview and offer process, providing timely communication, setting clear expectations, and coordinating offer logistics (approval initiation, background checks, and pre-boarding handoffs to HR and IT)

  • Exercise independent judgment to resolve scheduling conflicts and last-minute changes, keeping the process moving with minimal disruption to candidates and hiring teams

TA Systems & Programs

  • Own the accuracy and hygiene of Ashby, ensuring candidate records, requisition statuses, and pipeline data are consistently up to date and audit-ready

  • Support the administration and continuous improvement of TA tools, workflows, and standard operating procedures, identifying process gaps, contributing to improved rollouts, and keeping process documentation in Confluence current

  • Build and maintain recruiting reports and dashboards that surface pipeline metrics, time-to-fill, and coordination SLAs to inform recruiter and leadership decision-making

  • Support TA programs such as employee referrals and university recruiting, including referral bonus validation with HR Operations, career fair coordination, and outcome tracking

Employer Brand

  • Create and publish employer brand content across LinkedIn, Glassdoor, and the OpenGov careers site, including employee spotlights, team stories, culture posts, and milestone moments

  • Conduct employee interviews and translate stories into authentic, compelling content that reflects what it’s genuinely like to work at OpenGov

  • Partner with Marketing to ensure TA content aligns with the broader brand voice and stays consistent across external channels

  • Monitor employer brand channels, tracking engagement, Glassdoor ratings, and candidate feedback, and surface insights to inform future content strategy

  • Support TA events, best places to work submissions, conference presence, and candidate-facing merchandise and swag

AI Enablement

  • Champion AI adoption across the TA team, modeling effective use of AI-powered recruiting tools in day-to-day work

  • Help build and maintain TA resources, such as prompt guides, tool tutorials, and workflow templates, so recruiters can adopt AI tools confidently and consistently

  • Share feedback and ideas on new tools and use cases with TA leadership, and help track adoption and impact

Requirements and Preferred Experience

Requirements

  • 2+ years of experience in talent acquisition coordination, recruiting operations, or a related HR/People function, with demonstrated growth in scope and ownership; or equivalent work experience

  • Hands-on experience with an ATS: managing candidate records, scheduling workflows, and maintaining data integrity

  • Proven ability to coordinate complex interview and event logistics across multiple time zones, stakeholders, and role types with high attention to detail and follow-through

  • Clear, confident written communication skills, including drafting external-facing content, candidate communications, and internal process documentation

  • Comfortable using AI-native tools to accelerate workflows and improve efficiency.

  • Strong organizational skills, with the ability to manage multiple workstreams simultaneously while handling confidential candidate, employee, and compensation information with discretion

  • Bachelor’s degree in HR, Communications, Business, or a related field, or equivalent work experience

Preferred Experience

  • Experience with Ashby or a comparable modern ATS

  • Experience creating or contributing to employer brand content, such as social posts, employee spotlights, or careers-site copy

  • Experience building enablement resources (prompt libraries, how-to guides, training materials) or working with AI-powered recruiting tools such as scheduling automation, sourcing assistants, or interview intelligence platforms

  • Experience coordinating career fairs, campus recruiting events, or an employee referral program
